Booking and Paying For a Tour

First step – Availability enquiry

  1. Decide on the particular Iron Donkey itinerary that interests you.

  2. Fill in the Availability Enquiry form. Alternatively, just contact us outlining the tour, dates etc that interest you. In either case, we will respond promptly regarding availability, cost etc.

Second step – Making a booking

  1. To proceed with a booking, first confirm your interest and intention to book by return email.

  2. We will send you a partly completed booking form and an invoice together with a copy of the Terms and Conditions by email (or fax or mail if you prefer).

  3. Check the details on the form, complete the necessary sections, sign and return it to us together with your deposit.

  4. When we receive your form and deposit, we will send you a confirmation and your pre-trip planner.

  5. The balance payment should be made 6 weeks before your tour start date.

Payment

  • Deposits

    A deposit of 10% of the total tour price is payable in order to confirm your booking. The deposit payment should accompany your completed and signed booking form. We will email you with confirmation of your booking and deposit no later than 24 hours after receipt.

    Acceptable payment methods (Full details of each option will accompany your invoice);

    1. Check or bank draft.

    2. Bank to bank transfer. If you wish to use this method, you will find our bank details on your invoice.

    Paypal 3. Through the online payment system at www.paypal.com

    4. By credit card (Visa or MasterCard). Credit card details will be handled securely to ensure confidentiality. Payments will appear on your card statement as MC IRON DONKEY

  • Balance
    Your balance is due 6 weeks before the starting date of your tour, and you will be sent a statement at that time. Payment methods are as detailed above for the deposit. If you are booking within 6 weeks of the tour start date, then the full amount will be payable at the time of booking.

Terms & Conditions

  • Cancellations, refunds and transfers
    We advise that you take out trip cancellation insurance at the time of booking.

    Should you be unable to proceed with your tour for any reason you should inform us immediately. Our cancellation and refund policy for all tours is as follows:

    • If you cancel at least 6 weeks before the tour start date, your deposit only is forfeit.

    • If you cancel between 6 weeks and 30 days before the start date, you can choose between either a refund of 70% of your total payment or forfeiting your deposit and rebooking the same tour at an alternative date.

    • If you cancel after the 30-day deadline, there will be no refund or rebooking since we will then be liable to pay for the pre-booked accommodation.

In the unlikely event that we have to cancel your tour for any reason, we will refund all money paid to us for your tour.

  • Risks and liabilities
    Your booking is accepted on the understanding that you realize and accept the risks associated with bicycle travel, and that you are fit and medically able to undertake this type of activity. We will send you a liability waiver that must be signed and returned with your balance payment.

  • Itinerary changes
    We reserve the right to make changes to your itinerary and/or your accommodation. Should this be necessary we will do our utmost to ensure that any such changes do not substantially alter the nature of the tour.

  • Routes
    We cannot guarantee the condition or accessibility of routes, since they follow public highways that are subject to road works, diversions, landslips etc. It is your responsibility to seek out suitable and safe alternatives should the marked route be closed or the surface be unfit for safe cycling.

  • Insurance
    It is your responsibility to ensure that you are fully covered in this respect.

  • Bicycle rental conditions
    Bicycles are rented out subject to availability and on the condition that the hirer assumes responsibility for the bicycle during the rental period. If you rent a bicycle, we will send you a rental agreement that should be signed and returned with your balance payment.

  • Complaints
    If you have a problem during your tour, you should phone the Iron Donkey helpline number and we will do our utmost to resolve the matter there and then. Otherwise, you should notify us in writing of the details of your complaint within 30 days of your return date.
